Policies

RULES FOR RESERVING, CHECKING OUT & RETURNING EQUIPMENT 

影视器材预订、借用及归还管理规定 

1. All reservations except Final-Year Projects reservations must be made via Web Checkout’s self-service “Connect 2” system.

Connect 2 can be accessed at https://livsofta.getconnect2.com/

所有器材(除毕业作品所需器材)必须通过“Connect 2”线上自助系统进行预订。

2. Online reservation must be made at least 1 workday before checkout.

必须在器材借出前一个工作日进行线上预订。

3. Equipment reservations will be categorized as follows:

PRACTICE – Out with agreed official scheduled project shoot times, students will be able to reserve equipment for a maximum of 2 days for practice.

ALLOCATED PROJECT SHOOT DATES – When working on an official School project whether for assessment or for agreed corporate/collaborative work, students can reserve equipment for the following amount of time:

Fiction Film - A maximum 4 days at one time.

Documentary Film - A maximum of 7 days at one time.

器材借用期限将按如下分类:

实践 – 除作业项目外,学生可借用器材进行实践,一次最多借 2 天。

指定项目 – 为作业项目或已授权的课外项目借用器材,借用期限如下:

故事片 – 一次最多借 4 天;

纪录片 – 一次最多借 7 天。

4. All reservation extensions require at least 24 hours advance notice and must be arranged with the Equipment Manager in person or over the phone.

如需延期归还器材,请至少提前 24 小时通过电话或当面与工作人员沟通协调。

5. Reservations are held past pick-up time for 30 minutes. After this time the reservation is automatically canceled and the equipment is made available to other students.

订单将按规定领取时间保留 30 分钟,超时将自动取消。

6. Please print the booking form on Connect 2 and bring it along with the signed Equipment Loan Agreement Form (signed by the module leader or Program Director) for checking out.

领取器材时,学生需携带纸质订单(从 Connect2 系统上打印)和纸质器材借用协议书(由授课教师或专业主任签字)。

7. Upon arrival at the Equipment Storeroom, it is the student’s responsibility to review the specified return time, thoroughly check the provided equipment list, confirm all items listed are present and in working order, then sign the Equipment Loan Agreement Form.

领取器材时,学生需仔细检查器材,确认清单上的所有器材均已提供并可以正常使用,查看并确认规定的归还时间。所有信息确认无误后签署器材借用协议书。

8. Students should alert Equipment Storeroom staff if anything is missing, unusual, extra, or malfunctioning during their equipment check.

在领取器材时,若发现任何器材遗失、使用异常或故障,或发现未在订单里的器材,需及时告知工作人员。

9. Take note of how the equipment is packed; you must return it in the same organization.

领取器材时注意器材的包装方式,归还时需保持原样。

10. The student signing the Equipment Loan Agreement is solely responsible for loss and/or damage to, and prompt return of the equipment, and will be charged accordingly.

签署器材借用协议书的学生对器材负有全责,若器材损失、损坏、或未按时归还,签署协议的学生将获相应处罚。

11. Booked equipment should not be given to other individuals.

不得将器材转借给他人使用。

12. If a problem arises with the equipment during your checkout period, you are required to immediately notify the Equipment Storeroom staff of the nature of the issue. Do not attempt repairs of equipment yourself.

如器材使用期间出现问题,必须立即将问题反映给工作人员,不得自行处理。

13. Students must return equipment by the specified return time determined by the student and confirmed upon pick-up. You are also required to return all equipment on the same order at one time.

学生必须在应还时间归还器材,并一次性归还同一订单的所有器材。

14. In-class project reservations should be made by the module leader at least one workday prior to the class. The equipment should only be used during class. Checkout time should be 20 minutes before class, while returning time should be within 15 minutes after class. The module leader is solely responsible for the reservation.

课堂使用的器材应由任课教师至少提前一个工作日在线上预订,器材仅供课堂使用。器材应在课前 20 分钟内领取,在课后 15 分钟内归还。任课教师须为所借器材负责。 

15. For Final-Year Project, all equipment lists must be authorised by the faculty advising your project. Please make all reservations at least TWO WEEKS in advance. Equipment requests should be complete when submitted to the Equipment Storeroom. Additions made at the time of pickup may need to be fulfilled at a later time. Each shoot will have one designated producer who will make all equipment reservations under their name.

毕业作品器材清单由指导教师授权,并至少提前两周预订,如临时增加器材将无法保证按时提供。项目需指定一位制片人来负责所有器材预订。

16. If students, faculty and staff want to travel with AFCT owned equipment, please write down the destination on the Equipment Loan Agreement.

如需携带器材长途旅行,请在器材借用协议书上填写目的地。

 

Permission To Operate (PTO) Procedure 

In order to avoid wastage of resources, as well as to follow the maintenance and safety needs, an operating permit system has been implemented in accordance with the University's laboratory safety regulations, requiring an application to be submitted prior to entering the laboratory and using the equipment. The application includes an explanatory document. The contents vary from production/postproduction schedule, operating proposal, or modification justification, depending on specific projects/activities. 

1. Regular learning and teaching activities 

Module Leaders’ access to the facilities for scheduled period will be opened according to the official application and needs for the corresponding course submitted by the teacher at the beginning of semester. The basic safety and emergency trainings prior to facility and equipment access are still pending. 

2. Project based student activities 

The following steps are the applications required for students to book and use equipment and facilities for their own projects within the curriculum. 

• a) Submit signed General Safety Instruction and Agreement issued to everyone at the beginning of semester (updates per academic year); 

• b) Participation on safety and emergency introduction education (details still pending);

• c) Place online orders on Connect 2 with active membership; 

• d) Prepare Loan Agreement signed by module leader/program director, electronic signatures would not be applicable without an acknowledgement email by module leader/program director; 

• e) Prepare explanatory document; It can be production/postproduction schedule/proposal, etc.

• f) Prepare acknowledgement of safety and liability for operating high-risk appliances, signed by each participant (if applicable); 

• g) In addition: Prepare specification for potential decorating/remodeling/production design/creative use inside facilities (if applicable);

• h) Collect booked resources by submitting all the documents listed above to technical support (Equipment collection on AS Ground Floor; Facility Access Card collection on AS Room 220).

3. Project-based self-learning activities 

Each semester each student possesses 40 hours of self-learning time that allows students to book and use academy resources outside the curriculum for their own projects. Students could book a maximum of 8 hours of resources each time when regular teaching and production activities are not in need. This booking procedure requires Step a, b and c as above, as well as an official email stating requested time period. Technical support team would keep track of students’ own projects requests. 

Students are not allowed to working on projects outside curriculum using academy resources except on this given period or it is a special request permitted by Program Director, Head of Department or Dean. Teaching faculties should provide justification given documents via hard copy or official emails for additional use of resources before entering facilities or getting equipment. 

Any occupancy of resources that is not within scheduled time will be considered as interfering with regular maintenance and management. The administrator reserves the right to revoke equipment/facility access if the Connect 2 user is unable to provide a justification document and detailed explanation of the activities.

 

PENALTIES 处罚规定 

1. Penalties include fines, replacement/repair charges, and loss of all borrowing privileges for the rest of the semester. When a student or staff member is assessed as responsible for loss or damage, they are provided one week to make a payment, appeal, or set up a payment plan. After one week, their account is placed on hold and equipment privileges are suspended.

处罚包括维修、更换和罚款,以及限制借用器材。当学生/教职工被认定为器材损失/损坏的责任人时,将有一周的时间进行赔付、申诉或制定赔付计划。一周后,学生账户将被暂停,器材借用权限也将被取消。

2. Penalties will be enforced on the following:

● Late return of equipment

● Broken equipment

● Loss of equipment or individual components (e.g. screws, springs, tie-downs, etc.)

● Improper, careless handling or repacking of equipment (including shooting in foul weather or in sandy environments)

以下行为将受到处罚:

● 延迟归还器材

● 损坏器材

● 丢失器材或配件(如:螺丝、弹簧、固定装置等)

● 不当使用、搬运和包装器材(包括在恶劣天气或沙质环境中使用器材)

3. In the case of accidental loss or damage of equipment the following charge will be made:

70% of the value of the equipment will be absorbed by the university; 30% of the value will be charged to the student/staff member responsible for booking out the equipment.

If a student/staff member is found to have been negligent in the care of equipment, the student/staff member will be charged 100% of the value of the lost/damaged equipment or the cost of repair, whatever is found to be the appropriate solution in each individual case.

若器材因意外损失或损坏,70%的赔偿费用将由学校负责承担,30%的赔偿费用将由借用器材的学生/教职工承担。 

若学生/教职工由于疏忽或使用不当造成器材损失或损坏,将由借用人承担全部费用。 

4. Late Fee — Equipment returned after 5pm(except for In-Class Projects) on the due date will be considered as late and the account will be placed on hold and equipment checkout is suspended.

· Late 1st day – 1 week hold;

· Late 2 days – 2 weeks hold;

· Late 3 days – 3 weeks hold;

And so forth.

延迟归还费用:除课上使用的器材外,晚于应还日期当日 17 点归还的器材将视为延迟归还。若延迟归还,账户会被停用,器材不能借取。 

· 延迟 1 天 – 禁止借用一周

· 延迟 2 天 – 禁止借用两周

· 延迟 3 天 – 禁止借用三周以此类推。

5. Cleaning Fee – Equipment used in sandy, wet, or otherwise adverse environments may require cleaning service. In such cases, payment should be made by the student/staff.

清洁费:在沙尘、潮湿或其它不利环境中使用器材会对器材造成损坏,如产生清洁费用,将由借用人承担。
